PHILANTHROPY PILLAR

Buoyed by the success of the opening edition of the Mumbai Marathon (now Tata Mumbai Marathon), Procam zeroed in on the capital city of India, New Delhi, for the next global property and thus started the journey of the Delhi Half Marathon (now Vedanta Delhi Half Marathon) in the year 2005. With the introduction of the Delhi Half Marathon, little did cynics believe that the people of Delhi would embrace running as lifestyle and turn up in great numbers to set a new benchmark year on year.

 

Today, the event is not only the biggest sporting event in the city, but also one that has created a legacy of going beyond – be it at an individual level or impacting the country. Each & every individual at the start line comes together to live one emotion. The DHM (now VDHM) is a platform to break records, inspire peers, push human boundaries, celebrate the spirit of the city and achieve something larger than you & I.

 

The Vedanta Delhi Half Marathon is a throbbing, pulsating and colourful spectacle of humanity moving towards a larger goal of health, fitness, charity & pride. This event is one of the largest sporting platforms for philanthropy in India.

 

PHILANTHROPY PARTNER

As the official philanthropy partner of the VDHM, United Way Delhi (UWD) enables participating NGOs to leverage the fundraising potential of the VDHM and raise funds for themselves. All funds raised through the VDHM are channelized through UWD, who is responsible for accounting and providing the necessary tax exemption receipts to all donors. Any deviation/exceptions to this shall be provisioned as mentioned in the specific sections.

 

UWD ensures that the platform is an equal and level playing field for all participating NGOs and remains cause neutral. Since there are limited running spots at the VDHM, the fundraising opportunities against these spots are distributed evenly between the NGOs.

 

ABOUT THIS DOCUMENT

The philanthropy structure provides a flow of the processes for the 2022 edition of the Vedanta Delhi Half Marathon and an understanding of the entire philanthropic aspect. Whether as an NGO, corporate or an individual, the document contains detailed information on important dates and procedures for raising funds to benefit the registered NGOs.

 

NGO REGISTRATIONS

Till date, 300+ NGOs have participated in the past editions, collectively raising INR 77+ crore towards philanthropy.

 

All NGOs are required to complete the statutory and financial due diligence process in order to be eligible to

register with UWD for the Event.

 

The Vedanta Delhi Half Marathon 2022 contribution amount: The contribution for qualifying NGOs to participate in the VDHM 2022 is as per the following categories:

Process for NGO Registrations

  • Visit the Vedanta Delhi Half Marathon Philanthropy portal using the
    link: marathon.unitedwaydelhi.org/ngo-registrationand enter the asked information
  • The NGOs shall receive user name and password on the given email address
  • Use the credentials to login and upload the due diligence documents
  • Make the initial donation using the link on the payment section on the NGO dashboard
  • UWD to verify the details and send an email upon activation of the account.

All Fundraising for VDHM 2022 only through UWD and no other crowdfunding platform. Participating NGOs using any other platform will not be considered and shall be barred for the participation

On registration, each NGO is provided a customizable page on the UWD website. Supporters of an NGO, both individual fundraisers and corporates, will also have customizable online pages through which funds can be raised for the NGO. Runners at the event can also select registered NGOs to support in a various way.

    1. NGO Privilege Level Incentives
      In order to recognize and encourage the efforts of participating NGOs who fully leverage the VDHM platform, a list of indicators has been identified, each of which translates into a point for the NGO. The total of these points determines an NGO’s privilege level. Each level has a set of privileges for the NGO at the event.
    2. Corporate Team Participation
      The Corporate team category is specially designed for companies who wish to field employee teams at the VDHM and raise funds for NGO(s) of their choice. Besides raising substantial amounts of funds for various causes, over the years, this has emerged as an excellent employee engagement and team bonding activity.
    3. Individual Fundraising
      Any individual (who may or may not be running at the VDHM) can support an NGO by creating a fundraising page on the UWD website and reaching out to friends, family and peers for donations. Funds donated online on these fundraising pages are disbursed to the beneficiary NGO minus applicable charges (Refer breakup table). The pages contain various features and help the fundraiser to raise funds efficiently:

      Change Runners: Fundraisers who raise more than INR 1 lakh are acknowledged as Change Runners at the VDHM. There are individual fundraising levels, the details of which can be found on Page 14. Citizens not falling under Young leaders category are eligible as change runners and levels.

      Young Leaders: Fundraisers below the age of 21 years as on 15th October, 2022 fall under this category. Acknowledgements and privileges are applicable on raising minimum INR 75000.

    4. Direct Donation on NGO Page
      On registering for the VDHM, each NGO is represented on the UWD website through a unique personalized page. The page displays the NGO’s appeal, contact details, number of available bibs, total amount raised, the fundraisers supporting the NGO and the NGO’s privilege level. The NGO page also features a donate option, which enables the NGO to receive online donations from its supporters. funds raised on this page are disbursed to the NGO minus applicable UWD Operational Cost.
    5. Top-Up Donations made by runners while registering for the event through the event website
      Runners while registering themselves on the event website can choose to support an NGO listed with United Way Delhi (local contributions only). In case an NGO is not registered with NGO, they can get them registered with UWD by visiting the NGO registration link.

CORPORATE TEAM PARTICIPATION

Corporate team is a category specially designed for companies wishing to field employee teams to participate in the Vedanta Delhi Half Marathon and raise funds for NGO(s) of their choice. raising substantial amounts of funds for various causes, over the years, this has emerged as an excellent employee engagement and team bonding activity. Corporate teams on Race Day are hosted in a special tent for a differentiated team experience and enjoy priority Great Delhi Run line up over the general categories.

Corporate tent & Benefits

On Race Day a special tent is set up by the Event Promoter to exclusively host employees of the corporates participating through philanthropy. The corporate tent hosts various fun activities pre and post completion of their race.

Some of the benefits that members of the corporate teams can look forward to are:

  • Regular pre-race day communication from UWD.
  • Meetings with team leaders to give Event updates, pledge raising tips, standardized presentations which they can use to motivate their team members.
  • Acknowledgement on United Way Delhi website.
  • Companies who complete the process of registering, i.e., making the upfront contribution, completing the online/offline run registration process and paying the requisite entry fees to Procam, by 30th September 2022 will have their name printed on their team member’s running bibs (Great Delhi Run bibs). Companies that complete formalities after 30th of September till 6th October 2022 will not get bib name printed on their bib.
  • Team members participating in the Great Delhi Run race category will be hosted in a special Corporate Cares holding area at the event venue on race day.
  • Visibility for companies and CSOs being supported within the corporate holding area.
  • Corporate Teams contributing ₹ 5 lakh and more for their chosen CSO, will have a banner on the race route featuring their name and the CSO chosen.
  • Furthermore, companies contributing ₹ 10 lakh and above in 2022 edition get a VIP Marquee invite and one car parking pass for 2 members of their top management team.
  • Race day photographs for top 2 fundraising members in a corporate team (if captured by event’s official photographer, One Glint). To be eligible for this, the team member must have raised a minimum of ₹ 25,000 for his/her chosen cause and such funds must have been submitted and reported to United Way Delhi on or before 29th April 2022.
  • Team acknowledgement in the docket published post-race day.

Companies participating in this category make a non-refundable contribution towards the NGO/s of their choice while registering for team sizes of 15, 25 and 40 members. The contribution amount is inclusive of donation to the chosen NGO/s (which must be registered with UWD for VDHM 2022) and UWD operational amount.

The team members’ applicable race fee is to be submitted separately favoring “Procam International Pvt Ltd”,

during final team submission, based on the invoice sent by Procam.

Registration Process

Stage 1

Corporates that wish to support NGOs/Cause of their choice to get in touch with United Way Delhi by registering on the UWD Philanthropy Portal or by writing to us delhihalfmarathon@unitedwaydelhi.org

Corporates to pick the category and number of runners and make relevant donations depending on the team size they choose to field to UWD along with the runner registration fee to Procam.

Stage 2

Once the donation is made, the corporate to populate the runner registration details in the given excel sheet. The same shall be submitted to Procam and UWD to double check before submission.

Make an upfront, non-refundable contribution of the registration amount as a cheque(s)/bank transfer by the two options mentioned in the table below:

NGO Contribution amount will be favoring to United Way Delhi. Company that is willing to donate online, NEFT details will be shared for the same.

Note:

The applicable run registration fees will be paid to the event organizer by cheque favoring to Procam, UWD to share exact details for issuing of the cheque or NEFT for the same

Companies contributing from their CSR budget and wishing the donation to be in accordance with the CSR Bill, which mandates contributions to be made directly to projects or programs to be eligible as per the company’s CSR policy. 

  • As per the circular dated June 18, 2014 issued by the Ministry of Corporate Affairs, one of the events, such as a marathon would not qualify as CSR expenditure for the purposes of Section 135 of Companies Act, 2013. The corporate donor shall be solely responsible and liable for compliance in relation to the amounts being donated by the corporate donor to UWD for participation in the VDHM (including any amount paid as the event registration fees that is used for purchase of bibs or towards administrative expenses) with provisions relating to corporate social responsibility under the Companies Act, 2013 and the rules made thereunder (including but not limited to Section 135 of Companies Act, 2013).
  • All contributions to United Way Delhi irrespective of option chosen are eligible for 80G tax exemption and the receipt will be sent via email.
  • Depending on the option chosen, UWD will either disburse the funds to the NGO or handover the split cheque to the NGO
  • The corporate contribution does not include event participation fees of the runners. The applicable event fee has to be paid separately after team submission to Procam International Pvt. Ltd. within 30 days of the invoice date or latest by 14th October 2022, whichever is earlier.
  • Corporate registration form & cheque/s (both single and split cheques) need to be sent to UWD. UWD will hand over the split cheque to the NGO after verifying the same. In case of direct bank transfers, the recipient NGO would need to share the bank statement to verify receipt of the donation. Unless the verification of split donation being received by the supporting NGO is complete, team allocation to the corporate will not be done.
  • If the corporate is not registered under the Indian Companies Act, 1956 and is a 100% subsidiary of a foreign company, then it falls under FCRA and hence the beneficiary NGO must have FCRA registration. The corporate would also be required to provide an authorised declaration on company letterhead confirming the same for UWD to proceed with the registration process.

 

Employee Fundraising (Corporate Team)

Employees of participating corporates can choose to extend their philanthropic involvement in the VDHM by fundraising for causes and NGOs of their choice. Raising funds for a cause is a deeply satisfying and rewarding experience and provides an important opportunity to contribute to the underserved. Employees from companies/group can visit UWD Philanthropy Portal to create a page and fundraise for the respective cause. In case the NGO a team wishes to support is not registered, they can get them registered with UWD by visiting the NGO registration link.

INDIVIDUAL FUNDRAISING

Committed individuals raising funds for causes of their choice are the backbone of the philanthropic effort at the VDHM. UWD supports these individuals in this endeavor by providing an efficient, empowering and effective platform to raise funds for a cause. All fundraisers start by creating their fundraising page on the UWD website. These pages are user friendly, feature rich and free to set up.

Who is a Fundraiser?
A fundraiser is any individual who chooses to make a difference by raising funds for their chosen NGO. Depending on the amount of funds raised, the individual gets upgraded to different levels at the VDHM.

Who is a Young Leader?
The VDHM celebrates the spirit of young India and encourages the youth to participate in acts of building social awareness and raising funds for cause/s close to their heart.
Fundraisers below the age of 21 years as on 15th October, 2022 fall under the Young Leader category
On raising INR 75,000 the Young Leader is entitled for a complimentary running bib with a customized 6-digit number of their choice for any race category, provided they qualify as per the event rules.
*As soon as Young Leader have achieved their 60% targets, UWD needs to get at least 3 numbers basis priority from these fundraisers and close allocation with Procam by 30th Sept. By the end of 6th October, UWD to confirm those individuals who have crossed the Change Runners’ mark and Procam will allocate the bib number accordingly.
This bib is non-transferable.

  • All Young Leaders raising above INR 75,000 receive an official certificate in recognition of their
  • All other privileges and retentions are applicable to Young Leaders as per the fundraiser level

Who is a Change Runner?
Fundraisers who raise above INR 1 lakh are acknowledged as Change Runners for their deep commitment and
significant impact towards their chosen cause.

  • Change Runners get a complimentary running bib with a customized 6-digit number of their choice for any race category of their choice along with priority line up. This bib is non-transferable. Late day to complete the fundraising target is 30 September,2022 to avail the customized bib no. T&C. Details are mentioned in table below:

  •  The privileges are applicable upon successful raising of funds as per the given brackets. In case a fundraiser raises funds below the mentioned level, they shall qualify for the level below it as per the requirement of the said level.
  • Race Day privileges will be determined for all fundraisers by 06th October 2022.
  • Post 07th October 2022 fundraisers who have achieved their target will be acknowledged on the website and the event docket, but will not be entitled to Race Day benefits.
  • The additional guest bibs will be general category bibs with applicable event rules and would not be eligible for any special Race Day privileges.

EMPLOYEE FUNDRAISING

Employees of participating corporates can choose to expand their philanthropic involvement at the VDHM by fundraising for causes and NGOs of their choice. Raising funds for a cause is a deeply satisfying and rewarding experience and provides an important opportunity to contribute to the underserved.

Process:

  • Employees are encouraged to create their own personalized fundraising page on the UWD website.
  • These personalized and feature-rich pages will allow the employees to customize appeals, select NGO/s, upload photographs and videos, set targets, receive all important communication on the dashboard, receive donation notifications and updates and are easy to share on social media.
  • All privileges and levels that accrue to fundraisers are also covered under Individual Fundraising section.

DIRECT DONATION

Upon completing VDHM registration, each NGO has a unique personalized page on the UWD website. The page displays the NGO’s contact detail, bibs available, total amount raised, the fundraisers who support the NGO and the privilege level of the NGO. All direct donors on the page are also listed. Since all donations received online on the NGO page are disbursed in full to the NGO, this is a good avenue to direct supporters who have already registered to make the donation.

PHILANTHROPY AWARD NITE

The Vedanta Delhi Half Marathon Philanthropy Awards Nite organised by Procam International Pvt. Ltd. is a culmination event of the entire VDHM cycle to appreciate the extraordinary efforts and contribution of individuals, corporates and participating NGOs. The event also provides a platform to all awardees and other attendees to spend informal time in a non-traditional environment, allowing them to understand the best practices and network with each other to explore possible associations.

TERMS & CONDITIONS

  1. Procam India Pvt.Ltd. is the promoter of the Event and shall do all such acts, deeds, matters and things as it may consider appropriate to promote, manage and organize the Event and to exercise and commercially exploit all the rights whatsoever associated with the Event in such manner as it considers appropriate. PIPL will be solely responsible for seeking all necessary approvals required by law of the land to conduct the Event.
  2. PIPL shall be responsible for all costs of promoting and conduct of the Event.
  3. All advertisement, publicity, broadcasting, television, internet and other media opportunities and rights in connection with the Event vest in and belong to PIPL, who may exploit and deal with the same in such manner and on such terms as it considers appropriate. The media coverage for the Event shall be arranged by PIPL. PIPL shall in relevant publicity material in respect of the Event ensure that UWD is acknowledged as the Philanthropy Partner of the Event.
  4. PIPL may, at its own cost, install branding boards/wall drops showcasing logos of the Event and PIPL within the corporate tent.
  5. United Way Delhi is the official philanthropy partner for the Vedanta Delhi Half Marathon 2022.
  6. All fundraising activities/campaigns undertaken in the VDHM 2022 shall be through United Way Delhi.
  7. United Way Delhi is not responsible for providing any nature of Services/Products/Publicity/branding through paid channels at the VDHM.
  8.  All donations/contributions made to UWD shall be directed towards implementation and development of projects by United Way Delhi and/or listed partners.
  9. All the benefits/incentives for the participating NGOs/Corporates/Individuals are being provided by the event promoter and not United Way Delhi and remain at the discretion of the organizer.
